Setting Up Outlook | Attachments | Email Groups

Setting Up Outlook (only works at school)

First-time setup

• Double-click on the Outlook icon on your desktop or go to Start/Programs/Microsoft Outlook

• At Outlook Startup dialog box…click Next

• Email Account…click Next

• Select “Microsoft Exchange Server”

• Type in “Tammail” in Microsoft Exchange Server box.

• Type your login name in user name box

• Click Finish

Attachments

One of the most valuable uses of email is sending and receiving attachments.  Attachments are files you can send along with an email message.

Receiving Attachments
Never open an attachment unless you know what the file is or you expect to receive the attachment.  Currently, email can have a return address of someone you know but contain attachments that can infect your computer.  Trust nothing and only open attachments you are sure of.

Sending Attachments
Sending attachments is often the easiest way to share files with others and is very simple.  Although the details are different in different email programs, there is usually an icon which allows you to choose the file you would like to attach to your email.  In Miorosoft Outlook, clicking on the paper clip brings up the file selection window to find and attach your file.

SOME CONSIDERATIONS

• If you are using Citrix Outlook, and you wish to attach a file in your user folder, you must copy the file you wish to attach to your c:\drive.  Be sure you copy to a location where you can find it.  (This is necessary because Citrix can not see your user folder but it can see your c:\drive).  
• Check the size of the file(s) you are sending.  Some email providers limit how large a file can be attached or received as an attachment.  While this doesn't usually affect word processing files, it can affect image, audio and video files.
• Let the recipient of your email know you attached the file and why.  Find a way to help the recipient know the attachment is real and not a fake or malicious file.

Groups

The district has set up a number of email groups which greatly simplify sending email to your department members, the counselors, the administrators, etc.  Below is a list of the groups. If you click on one of the prefixes below, your email program should start and place that group's email address in the To: field of a new email message.  You can also just add the email prefix in front of @tuhsd.marin.k12.ca.us to send an email to that group.  You do not need to be in the District system to make this work.
